i.Introduction

This Refund Policy explains how refunds work for projects with Anna 360 Design ("we", "our", "us", "Studio"), a sole proprietorship operated by Rahul Singh (Aligarh, Uttar Pradesh, India). It applies in addition to our Terms of Service.

Our approach is simple: refunds are most generous before any work begins, partial during work in progress, and not available after final delivery. The exact rules at each stage are explained below.

In short

Full refund within 7 days if work hasn't started. Partial refund (case-by-case) for work in progress. No refund after final delivery and acceptance.

ii.Why design refunds are different

Design work is custom, time-based, and produced specifically for one client. Unlike a physical product that can be returned or a software subscription that can be paused, design hours that have been spent cannot be "un-spent."

Once we begin work on your Project, our time goes into:

  • Research into your industry, audience, and competitors
  • Wireframing, exploration, and visual direction
  • Designing pages and components
  • Building, integrating, and quality-checking
  • Communication, review cycles, and handover

This is why our refund policy ties refund eligibility directly to how much work has been done — not to arbitrary deadlines.

iii.Refund eligibility by stage

Here's how refunds work at each stage of a Project:

Full refund

Before work begins

If you've paid an advance but no design work has been started, you may request a full refund within 7 days of payment.

Partial refund

During the project

Once work has begun, refunds are limited to any unused portion of the advance. You receive all completed work to date as part of the cancellation.

No refund

After final delivery

Once final files have been delivered and accepted, the engagement is complete and no refunds are available.

3.1 Stage one: before work begins

If you've accepted a Proposal and paid the 50% advance, but we have not yet started any active design work (e.g. discovery hasn't started, no research has been done, no wireframes or mockups exist), you can request a full refund of the advance within 7 days of payment.

To qualify, the request must be made in writing and within the 7-day window.

3.2 Stage two: during the project

Once design work has begun — even at the discovery or wireframe stage — your advance is treated as compensation for time and effort already invested. From this point forward:

  • The advance is no longer fully refundable
  • Refunds are assessed case-by-case based on how much work has been completed
  • You receive all completed work (Figma files, wireframes, partial designs) as part of the cancellation
  • Any reasonable unused portion of the advance may be refunded, at the Studio's good-faith assessment

3.3 Stage three: after final delivery

Once we have delivered the final files and you have accepted them (whether through explicit sign-off or by going live with the delivered work), the engagement is complete. No refunds are available at this stage.

If you experience genuine issues or bugs after launch, those are addressed through the post-launch support window (2 weeks for Studio and Bespoke projects), not through refunds.

iv.How partial refunds are assessed

For mid-project cancellations, we assess refunds based on a reasonable evaluation of:

  • Hours actively spent on the Project up to the point of cancellation
  • Deliverables completed (research, wireframes, designs, build progress)
  • Time invested in client communications, calls, and feedback rounds
  • Any third-party costs already incurred on your behalf (paid plugins, stock licenses, etc.)

We aim to be fair and reasonable. If our assessment of "work spent" is significantly less than your advance payment, you receive the difference back. If our assessment matches or exceeds the advance, no refund is due, but you still receive all completed work.

We're transparent about how we calculate this — we'll show you the breakdown so you can see exactly how the assessment was made.

v.Exceptions

5.1 Studio-initiated cancellation

In the rare cases where we cancel a Project from our side (e.g. due to capacity issues that prevent us from delivering on agreed timelines), you receive a full refund of any unused portion of your advance, plus all completed work to date.

5.2 Project unable to begin

If, due to circumstances on either side, a Project cannot reasonably begin within 60 days of the advance being paid, the Client may request a full refund — even if more than 7 days have passed.

5.3 Material breach

If we materially breach the agreement and cannot remedy it within a reasonable time after notice, you may be entitled to a refund proportional to the breach, as required by law.

vi.How to request a refund

To request a refund, send an email to hello@anna360design.site with the following details:

  • Your Project reference or invoice number
  • The date and amount of the payment
  • The reason for the refund request
  • Your preferred refund method (typically the original payment method)

We will acknowledge the request within 2 business days and provide a written response — including any partial refund amount and our reasoning — within 7 business days.

vii.Processing & timing

Once a refund is approved:

  • Indian payment methods (UPI, NEFT, Razorpay): Typically processed within 5–10 business days
  • International payments (Stripe, Wise, SWIFT): Typically processed within 7–14 business days
  • Cheque payments: Refunds are issued as a new cheque or bank transfer within 10 business days

Refunds are issued to the original payment method whenever possible. Bank transaction times, currency conversion, and intermediary banks may add additional time outside of our control.

Any third-party transaction fees previously paid (e.g. Razorpay or Stripe processing fees) are typically not refundable, as they are charged by the payment provider, not us.

viii.Disputes

If you disagree with our refund decision, please first reply to our written response with your reasoning. We're happy to review and reconsider.

If we cannot reach agreement, the dispute resolution process in our Terms of Service applies — typically good-faith negotiation first, then formal proceedings if needed, in the courts of Aligarh, Uttar Pradesh, India.

ix.Chargebacks

We strongly prefer to resolve any payment concerns directly with you. Initiating a chargeback through your bank or card provider before contacting us creates significant administrative cost and may result in temporary suspension of services.
